Refund & Cancellation Policy

1. Introduction

Winner ASBL (“Winner ASBL,” “we,” “our,” or “us“) is a non-profit organization dedicated to improving the lives of communities through humanitarian, educational, social, and community development initiatives in the Democratic Republic of the Congo (DRC).

The generosity of our donors enables us to carry out our mission and deliver meaningful impact. This Refund & Cancellation Policy explains how donations, cancellations, and refund requests are handled when contributions are made through our website or any other official fundraising channels.

By making a donation to Winner ASBL, you acknowledge that you have read, understood, and agreed to the terms of this policy.

2. Nature of Donations

All donations made to Winner ASBL are voluntary charitable contributions intended to support our programs, projects, operational activities, emergency responses, and organizational objectives.

Unless explicitly stated otherwise for a specific campaign, donations are considered unrestricted and may be allocated wherever they are most needed to maximize our charitable impact.

3. No Refund Policy

As a charitable organization, Winner ASBL utilizes donations promptly to support its programs and beneficiaries. Accordingly:

  • All donations made to Winner ASBL are considered final.
  • Donations are non-refundable once successfully processed.
  • Donations cannot be cancelled after payment has been completed.
  • Donors acknowledge that they are making a voluntary charitable contribution without receiving goods or services in return.

Because donated funds may be committed immediately to ongoing charitable activities, administrative costs, or beneficiary programs, Winner ASBL is generally unable to return donated funds.

4. Exceptional Circumstances

Although our general policy is that donations are non-refundable, Winner ASBL may, at its sole discretion, review requests in exceptional situations, including but not limited to:

  • Duplicate donations resulting from a technical or processing error.
  • An incorrect donation amount entered unintentionally.
  • A payment processed more than once for the same donation.
  • Technical issues that resulted in an unintended transaction.

Any such request must:

  • Be submitted within 14 calendar days of the donation date.
  • Include the donor’s full name.
  • Include proof of payment.
  • Include the transaction reference or receipt number.
  • Clearly explain the reason for the request.

Submission of a request does not guarantee that a refund will be approved.

Winner ASBL reserves the exclusive right to approve or deny any refund request after reviewing the circumstances.

5. Unauthorized or Fraudulent Transactions

If you believe your payment was made without your authorization or your payment method has been used fraudulently, you should:

  1. Contact your bank or payment provider immediately.
  2. Notify Winner ASBL using the contact information provided below.

Winner ASBL will cooperate with financial institutions and payment processors during investigations relating to unauthorized transactions.

6. Recurring Donations

If Winner ASBL offers recurring donations, donors may cancel future recurring contributions at any time before the next scheduled billing date.

Cancellation of recurring donations only prevents future scheduled payments.

Any donation already processed prior to cancellation remains subject to this Refund & Cancellation Policy and is generally non-refundable.

7. Currency and Processing Fees

Donations may be processed in different currencies depending on the payment method selected by the donor.

Winner ASBL is not responsible for:

  • Currency exchange fluctuations.
  • Bank charges.
  • Credit card processing fees.
  • Payment gateway fees.
  • Charges imposed by financial institutions.

Where a refund is exceptionally approved, Winner ASBL may deduct any non-recoverable transaction or processing fees permitted by applicable law.

8. Donation Receipts

Donation receipts or confirmation emails are issued solely as acknowledgment that a donation has been successfully received.

A donation receipt does not constitute a guarantee that a donation is refundable.

Donors are encouraged to retain their receipts for personal records and, where applicable, tax or regulatory purposes.

9. Changes to This Policy

Winner ASBL reserves the right to amend or update this Refund & Cancellation Policy at any time without prior notice.

Any revisions become effective immediately upon publication on our website. Continued use of our donation services after such updates constitutes acceptance of the revised policy.
